Spreadsheets and guides

Three products, all built from the public application rules and checked against them on the date in each listing. They are what keeps the calculators on this site free and ad-free. Nothing here promises an interview or an acceptance; that is not something a spreadsheet can do.

Cover of the Pre-Med Clinical Hours Tracker showing a dashboard of hours by category

Excel · for pre-med, pre-PA and pre-health students

Pre-Med Clinical Hours Tracker

One row per shift (date, activity, setting, supervisor, hours, what you saw, a short reflection) and the workbook does the rest: hours per activity, averages per week and month, verifier contacts and confirmation status, and live character counters against the AMCAS 700 and 1,325 limits and the OMSAS 150-character limit. Three views lay your data out the way OMSAS, AMCAS and CASPA ask for it, and a Verifier Letters sheet writes the confirmation email for you. Works in Excel 2010 or later and LibreOffice; no macros.

Cover of the OMSAS ABS Builder showing an entries table with character counts and verifier status

Excel workbook + 8-page PDF · Ontario applicants

OMSAS ABS Builder

Draft your Autobiographical Sketch in a spreadsheet with 32 entry rows matching the OMSAS categories, a 150-character counter that turns red when you go over, an age-16 check, Ottawa and Queen's top-3 counters, and a "description check" column that flags lines with no number, lines that start with "I", and filler like "helped with". Verifiers flow into a tracker with a ready-to-send confirmation email. A 24-item final review reads your own sheet and lists what is still wrong. The PDF covers how each school says it uses the ABS, the six categories, verifier etiquette and a three-day plan. Requires desktop Excel 2019 or Microsoft 365.

Cover of the AMCAS Work and Activities Builder showing example entries with character counts

Excel workbook + PDF · US MD applicants (and Canadians applying to the US)

AMCAS Work & Activities Builder

The US twin of the ABS Builder. Fifteen entry rows that match the AMCAS form: the nineteen experience types as a dropdown, contacts, up to four date ranges with completed and anticipated hours, a live 700-character counter and a counted 1,325-character Most Meaningful box. An Issues column applies the AAMC date rules, a contact tracker writes your verification emails, an AACOMAS view checks the 600-character DO limit, and a 27-point final review reads your sheet. Fifteen before-and-after rewrites and an eight-page guide included. Built from the AAMC's public 2027 guides and not affiliated with the AAMC; re-verify every limit in the live application.

Cover of AI Scribe Note Presets showing a dense note beside a short SOAP note

PDF + Markdown · for physicians, not applicants

AI Scribe Note Presets

This one is for the doctors, not the pre-meds. It is a pack of plain-text instruction blocks you paste once into the custom-instructions or template settings of an AI scribe (Heidi, Nabla, Tali, Scribeberry, Freed, Empathia, Dragon Copilot, AutoScribe and others) so it writes short, past-tense SOAP notes containing only what was said or examined, and ends each note with a list of what was not discussed and what it wants you to confirm. Includes a universal preset, nine specialty presets, a guardrails add-on, a sign-off checklist tied to CMPA and College guidance, and a tuning guide. It is style instruction for a documentation tool, not clinical advice, and it never touches patient data.

Refunds and support

If a file does not open or a formula is broken, email [email protected] with what you see and you will get a fix or a refund. Every limit in the spreadsheets (entry counts, character limits) is an editable cell, because the application services change their forms and the live portal is the only authority.
